This Privacy Policy explains how F5 Facility Services, LLC ("F5," "we," "us," or "our") collects, uses, stores, and discloses information through F5 Automation. F5 Automation is a private internal integration that connects F5's ServicePro operations system with F5's QuickBooks Online company.

This policy applies specifically to F5 Automation. F5 does not process QuickBooks user data on Intuit's behalf. F5 and Intuit independently determine how they process information for their respective services.

1. Who May Use F5 Automation

F5 Automation is intended only for authorized F5 personnel and approved service providers who need access for F5 business operations. A person who connects a QuickBooks Online company must be authorized to act for F5 and to grant the requested QuickBooks permissions.

2. Information F5 Automation Accesses

F5 Automation accesses only information reasonably necessary to connect ServicePro with F5's QuickBooks Online company and perform the functions described in this policy.

  • QuickBooks connection information. The QuickBooks company identifier (realm ID), OAuth access and refresh tokens, connection status, authorization timestamps, and related technical identifiers. F5 Automation does not receive or store a user's Intuit password.
  • Company and accounting information. QuickBooks company profile information and accounting identifiers or references needed to validate the connection, match records, and synchronize transactions.
  • Customer information. Customer or business names, account identifiers, billing and service addresses, email addresses, telephone numbers, and other customer details contained in ServicePro or QuickBooks Online.
  • Invoice information. Invoice numbers, dates, line items, descriptions, quantities, amounts, taxes, balances, status, and related customer and account references.
  • Payment information. Payment amount, date, method, reference, application to an invoice, and payment status. The integration is not designed to retrieve full payment-card numbers or a user's banking login credentials.
  • Synchronization and diagnostic information. ServicePro and QuickBooks record identifiers, matching results, synchronization timestamps, retry counts, error messages, and security or operational logs needed to maintain and troubleshoot the integration.

3. How We Use Information

F5 uses the information accessed through F5 Automation to:

  • authenticate and maintain F5's authorized QuickBooks connection;
  • match ServicePro customers with existing QuickBooks customers using approved business and account identifiers;
  • create or update authorized customer, invoice, and payment-related records;
  • reduce duplicate customer and invoice records;
  • support accounting reconciliation, reporting, audit, and F5 business operations;
  • monitor synchronization status, diagnose errors, maintain security, and improve the reliability of the integration; and
  • comply with applicable accounting, tax, legal, and contractual duties.

F5 Automation uses QuickBooks data only for these stated functions. It does not sell QuickBooks data, rent it, use it for targeted advertising, or make it available to unrelated third parties. F5 Automation does not share one QuickBooks company's data with another customer or company account.

4. Authorization and OAuth

F5 Automation connects to QuickBooks Online through Intuit's OAuth 2.0 authorization process. The QuickBooks company administrator reviews and approves the requested access through Intuit. Intuit then provides F5 Automation with limited authorization tokens; Intuit does not provide the user's Intuit password to F5.

An authorized administrator may disconnect the integration through ServicePro or revoke the application's access through QuickBooks Online. When authorization is revoked or the integration is disconnected, F5 stops initiating QuickBooks API access and revokes or securely invalidates the stored authorization tokens.

5. When We Disclose Information

F5 may disclose information processed by F5 Automation only as follows:

  • Intuit. We exchange data with Intuit's QuickBooks Online services as directed by an authorized user and as needed to provide the integration.
  • Service providers. We may allow cloud hosting, infrastructure, security, maintenance, and professional service providers to process information only as needed to operate or support F5 Automation. The current ServicePro integration is hosted on United States infrastructure. Providers are required to protect information and may not use it for unrelated purposes.
  • Legal and safety reasons. We may disclose information when required by law or when reasonably necessary to protect F5, our personnel, customers, property, systems, or legal rights.
  • Business transactions. Information may be transferred as part of a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate confidentiality and data-protection obligations.

F5 does not sell personal information or QuickBooks data and does not share it for cross-context behavioral advertising.

6. Hosting and Processing Location

F5 Automation and the current ServicePro integration are hosted and primarily processed in the United States. Intuit and other approved service providers may process information in locations described in their own terms and privacy notices.

7. Retention and Deletion

  • Connection data. OAuth tokens, the QuickBooks company identifier, and connection metadata are retained while the authorized connection is active and as needed to provide the integration. When the connection is revoked or permanently discontinued, F5 stops access and securely deletes or invalidates connection credentials that are no longer required.
  • Business and accounting records. Customer, invoice, payment, and synchronization records incorporated into ServicePro or QuickBooks Online are retained while needed for F5's business operations and for applicable accounting, tax, audit, contractual, and legal recordkeeping obligations. They are deleted or anonymized when those purposes and obligations expire.
  • Logs and backups. Security, diagnostic, and backup copies are retained only while needed for security, continuity, troubleshooting, and the normal backup-rotation process, after which they are deleted or overwritten.

Disconnecting QuickBooks does not automatically delete legitimate accounting records already created in ServicePro or QuickBooks Online. An authorized person may request secure deletion of information that is no longer required for an active integration or a legal recordkeeping obligation by using the contact information below. We may verify the requester's identity and authority before acting on a request.

8. Security

F5 uses administrative, technical, and organizational safeguards designed to protect information processed by F5 Automation. These safeguards include encrypted HTTPS transmission, authenticated and role-restricted access, protection of OAuth tokens, logging and monitoring, and procedures for responding to security events. No electronic system is completely secure, and F5 cannot guarantee absolute security.

9. Your Choices and Requests

An authorized F5 user may request access to, correction of, or deletion of information associated with F5 Automation; disconnect the integration; or revoke the application's QuickBooks access. Some accounting records may need to be retained as required by law or legitimate business recordkeeping obligations. QuickBooks company administrators may also manage information directly within QuickBooks Online.

10. Third-Party Services

QuickBooks Online is provided by Intuit Inc. Intuit's collection and use of information is governed by Intuit's own terms and privacy statements. F5 is responsible for F5 Automation and its support; Intuit is not responsible for F5 Automation.

11. Children's Privacy

F5 Automation is a business application and is not directed to children under 18. We do not knowingly use it to collect information from children.

12. Changes to This Policy

We may update this policy to reflect changes in F5 Automation, our data practices, legal requirements, or Intuit requirements. We will update the "Last updated" date and provide additional notice when a material change requires it.
